Privacy Policy

Effective date: October 9, 2026. This policy explains what information Vitalogicai ("VitalogicAI", "we") collects through this website, our website assistant and our Instagram account, how we use it, and the choices you have.

Who we are

What we collect

• Contact form: your name, work email, company, the area you're interested in and your message.
• Website assistant (chat): the messages you type, the replies, and an email address if you choose to give one. A random session ID links the messages of one conversation.
• Time-Back Estimator: the numbers you enter stay in your browser unless you send the contact form, which includes a one-line summary of the estimate.
• Referral tag: if you arrived through a link from one of our sales representatives, the representative's name tag, so the right person follows up.
• Instagram: when you comment on our posts or message our account, we receive your Instagram username, the account ID Instagram assigns for our account, and the content of your comment or message, through Instagram's official tools for business accounts.

We do not ask for, and you should not share, passwords, payment details or sensitive personal information in the chat.

How we use it

• To answer your questions and follow up on your request.
• To send one automatic message to people who comment on our Instagram posts, with a link to more information.
• To let our sales representatives review and approve answers about pricing or terms before they are sent to you.
• To improve the assistant: we review common questions so the assistant can answer them in future. Raw conversations are deleted after 90 days.

We do not sell your personal information or use it for advertising.

AI processing

Our website assistant is an AI system. Your chat messages are processed by an AI model (Claude, by Anthropic) running on Amazon Web Services' Bedrock service to generate replies. On Bedrock the model runs in accounts operated by AWS, and the model's maker has no access to your messages or the replies. Answers about pricing, discounts or contract terms are reviewed by a person before you see them.

Who we share it with

• Amazon Web Services, which hosts this website and the assistant. Chat data is stored in the United States; to generate a reply, AWS may process your message in another AWS region.
• Meta Platforms, which operates Instagram, for comments and messages on our Instagram account.
• Our sales representatives, who see the questions they are asked to approve.
• Authorities, if the law requires it.

How long we keep it

Chat conversations and approval records are deleted automatically after 90 days. Contact-form requests are kept for as long as needed to respond and maintain our business relationship, then deleted.

Cookies and storage

This site does not use advertising or tracking cookies. The chat and the referral tag use your browser's session storage, which is cleared when you close the tab.

Your choices and rights

You can ask us to show, correct or delete the information we hold about you by emailing kirk.olson@vitalogicai.com. Depending on where you live, you may have additional rights under laws such as the GDPR or the CCPA; we will honour them.

Deleting your data

To delete your chat history or Instagram interaction data, email kirk.olson@vitalogicai.com with the subject "Delete my data" and, if relevant, your Instagram username. We confirm deletion within 30 days. You can also remove our access from Instagram's settings at any time.

Children

Our services are for businesses and are not directed at children under 16. We do not knowingly collect their information.

Changes

We will post any changes on this page and update the effective date.
